As part of the Office Services team, the Front of House Coordinator ensures that Reception is covered addressing all visitors, external clients and AKQA employees in a professional manner, anticipate their needs, and ensure they enjoy a world-

class customer service at all times. Together with the Office Services team, you are responsible for the day-to-day operations of the Berlin office, organising internal events and supporting the initiatives of other departments.

Located in Berlin, Germany, as part of the AKQA team, you will work in an environment that fosters a dynamic and meritocratic culture, surrounded by some of the brightest minds in their fields.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Maintain positive contacts with all vendors, clients and regular guests  Â
  • General front of house duties
  • Together with the other team members, plan and prepare for internal and external events : research venues and suppliers, event execution and logistics coordination, event related invoicing
  • Updating new events and communications in the AKQA intranet
  • Setting up meeting rooms. Coordinating orders and catering if needed
  • Travel booking
  • Pre- accountancy preparation of the incoming invoices

    QUALITIES AND CHARACTERISTICS :

  • Acute attention to detail and a drive for perfection
  • Excellent written and verbal communication skills in both German and English
  • Production and logistic skills o be able to coordinate the relationship with third parties.
  • Strong communication skills. Should enjoy reaching out to people and establishing positive connections
  • Basic knowledge of Berlin and familiar with locations and trends in the city.
  • An eye for aesthetic. Should either have experience in some design or aesthetic related field
  • Rigorous in your organisation, able to solve issues
  • Passionate about what you do and can effectively communicate with / inspire clients and colleagues.
  • Prior experience of working in a similar independent role in a dynamic environment
